Employee Offboarding Workflow

How to initiate the offboarding process through Employment Hero when an employee is leaving the organisation.

When an employee is leaving the organisation, the below process needs to be completed through Employment Hero. Completing this step triggers an automated workflow that notifies payroll, IT, and the employee’s line manager at the right times.
Employee Process
Notification of Employee Resignation

When an employee intends to resign, they are required to submit a Notice of Resignation Form through Employment Hero. This notifies HR and initiates the offboarding process.

The employee completes these steps in Employment Hero

Contact your Primary Manager first
Prior to submitting your resignation, reach out to your Primary Manager to let them know your intentions. This does not replace the formal submission — it is simply the right first step.

Log in to Employment Hero
Open the Employment Hero app on your phone or visit app.employmenthero.com. Log in with your work email address and password.

Click on Compliance, then Forms
From the main menu, select the Compliance section, then open Forms to view the available forms.

Select the Notice of Resignation Form
Find and select the Notice of Resignation Form from the list of available forms.

Complete the form and submit
Fill in all required fields, including your intended last day of work. A short, clear statement is fine. Double check your termination date before clicking Submit.

Wait for confirmation
Once you submit, an email is automatically sent to HR. The leadership team will be in touch to confirm next steps and your final pay details.
Please Note: If the employee is unable or does not complete the Notice of Resignation Form, it is the responsibility of the employee’s Primary Manager to complete and submit the form on their behalf.

Complete these steps once the employee’s resignation form has been received

Log on to Employment Hero
Sign in to the Employment Hero platform using your HR credentials.

Click on People
Select People from the main navigation menu.

Select Employee Listing
Open Employee Listing to see all current employees.

Find and select the departing employee
Search for and open the profile of the employee who is leaving.

Click Start Offboarding
In the top right corner next to the employee’s name, click Start Offboarding.

Complete all fields and confirm the termination date
Fill in all required fields and verify the termination date is correct before submitting. Once submitted, the system will automatically trigger the notifications outlined below.

Important Reminder: The offboarding workflow only triggers once the checklist is submitted with the correct termination date. Always double-check this date before submitting to ensure all notifications fire at the right time.
